What is a Sales Quote in Business Central?

A Sales Quote is a non-posting offer to a customer in Business Central that can be turned into a sales order or a sales invoice once the customer accepts.

A sales quote is an offer document. It has no accounting or inventory effect: nothing is posted, no ledger entry is created and no stock is committed. It uses the same header and line structure as a sales order, so converting an accepted quote is a single action rather than re-keying.

Search for Sales Quotes with Alt+Q to open the list. The card holds the customer, the lines, and a Quote Valid Until Date. Conversion is done with the Make Order or Make Invoice action, and the quote number series is defined in Sales & Receivables Setup, together with the option to archive quotes.

On 4 February 2026 you quote Alpine Retail AG for 3 units of item 1972-S at CHF 1,250.00 with a 5 percent line discount, Quote Valid Until Date 28 February 2026. The customer accepts on 20 February. Make Order creates a sales order with its own number from the order number series, stores the quote number on the order, and removes the quote from the open list.

People often expect the quote number to become the order number; it does not, the order gets a new number and only keeps a reference. If quote archiving is switched off, the original offer disappears at conversion and there is nothing left to compare against when the customer disputes a price. Quotes made for a contact who is not yet a customer require a customer to be created during conversion, which is where posting groups get filled in carelessly. Finally, the validity date is informational: Business Central does not block conversion after it has passed.

Turn on quote archiving in Sales & Receivables Setup before you need it, so every revision of an offer is kept and you can show which version the customer accepted. Since quotes reserve nothing, always check availability on the lines before promising a delivery date, especially for long-lead items.

Does a sales quote reserve stock?

No. A quote commits nothing, so the same units can be quoted to several customers. Check the availability shown on the line before you promise a date.

What happens to the quote after I make an order?

The quote leaves the open quote list and its number is stored on the resulting sales order. If quote archiving is enabled, a copy remains under the archived quotes.
