Sales order automation in Business Central

Your order desk retypes what customers already wrote. Ask Zentriq Agent instead: it checks the customer and the items in your Business Central, then prepares the sales order as a draft you approve.

Customer orders arrive as an email, as a PDF attached to that email, or as a phone call written on a pad. Someone then opens Microsoft Dynamics 365 Business Central and types them in again: customer, items, quantities, prices, delivery date. This page explains how Zentriq Agent removes that retyping step, and where it stops.

The order desk types what the customer already wrote

On a busy order desk the work is not deciding what to order, the customer decided that. The work is transcription: find the customer number, find the item numbers, enter the quantities, check the price and the delivery date, save. Ten orders a day is an hour of typing. Fifty is most of a person.

Transcription is also where the errors come from: the wrong item variant, a quantity off by a decimal, a delivery date nobody carried over from the email. Those errors surface later, in a shipment that goes out wrong or an invoice the customer disputes.

One sentence in, a Business Central draft out

You write the order the way you would say it to a colleague. The agent reads your Business Central, checks what it needs, and prepares the document.

Create a sales order for customer 10000, 20 of item 1928-S, delivery on the 15th.
Customer 10000 found, not blocked
Item 1928-S found, price from the item card
Draft prepared, nothing posted
Sales order draft, customer 10000
1 line, 20 units of 1928-S, requested delivery on the 15th
Waiting for your approval in Business Central

You open the draft in Business Central, check the lines and confirm. The draft only becomes a real sales order when you commit it.

The same works with the customer's own words: paste the text of their email into the chat and ask for the order.

Three steps, start to finish

There is nothing to configure. The flow is the same whether you ask from inside Business Central, from the web app, or from your phone.

1.You ask

Type the order in the chat, or paste the customer's email. Inside Business Central you can also open the agent from a customer card with Ask Zentriq, and it already knows which customer you are on.

2.The agent checks first

It verifies the customer exists in your Business Central before it writes anything, looks up the item numbers and the prices, and stops to ask you when a customer or an item is missing or ambiguous instead of guessing.

3.You approve in Business Central

The order lands as a draft with a review link. You open it in BC, check the lines, then approve or discard. Nothing reaches your order book until a person clicks.

The rest of the sales cycle, in the same chat

Sales orders are one of the nine domains the agent covers. On the sales side it also handles:

  • Quotes, including converting an existing sales quote into an order.
  • Shipments, full or partial, on a released order.
  • Sales invoices, posted on the quantities actually shipped.
  • Credit memos, prepared from a posted customer invoice.
  • Questions such as open sales orders, order status by customer, or aged receivables, answered from live data.

It is one agent, so the same conversation also reaches purchasing, finance, inventory and reporting. The order desk does not switch tools to answer a question.

What this is, and what it is not

Zentriq Agent is conversational. It creates the sales order when you ask it to. It does not sit on your shared mailbox, and it will not draft an order you never asked for.

If watching a mailbox is exactly what you need, Microsoft ships a Sales Order Agent that does it natively. We compare the two on our Sales Order Agent alternative page rather than repeating it here.

  • Every order the agent creates is a draft you approve inside Business Central. There is no direct-post path for order creation.
  • One write per turn. Shipping and invoicing are separate actions you ask for by name, the agent does not chain them on its own.
  • Automatic document extraction is built for supplier documents: vendor invoices, credit memos and delivery notes. A customer order is not one of them, so for a sales order you paste or type the details in the chat.
  • Business Central online only. The agent works through your own Microsoft sign-in and inherits your Business Central permissions, so it never reads or writes more than you can.

Reading your data is included in the free plan, 15 messages a month. Creating documents is a write action and needs a paid plan, from CHF 29 per user per month. The full table is on the pricing page.

Sales order automation in Business Central: FAQ

Can Business Central create sales orders from customer emails?

Microsoft's Sales Order Agent does exactly that: it watches a shared mailbox and drafts orders for a person to review. Zentriq works differently. You ask in the chat, or paste the email text, and it prepares the sales order as a draft you approve in Business Central.

Can Zentriq create a sales order in Business Central?

Yes. Ask in one sentence, with the customer and the lines. The agent verifies the customer exists, looks up the items, and stages a draft in Business Central. The draft becomes a real sales order only once you approve it. Write actions require a paid plan.

Does the agent ship or invoice the order automatically?

No. Shipping and invoicing are separate steps you have to ask for by name, one write per turn. Creating an order never triggers a posting on its own.

What do I need to set it up?

The Zentriq Agent extension from Microsoft AppSource and a sign-in with your Microsoft account. No configuration, no integration project. It works with Business Central online, on-premises is not supported today.

The sales order flow is one part of Zentriq Agent, the conversational agent for Business Central.
