Empty G/L account in the General Posting Setup line

This is not a missing setup line: the line for the two posting groups exists, but the G/L account field that this transaction needs is empty. Business Central checks the field before it writes the entry and stops as soon as it finds it blank. Open General Posting Setup, find the line for the two groups named in the message, and enter the correct account in the field the message names.

Why Business Central raises this error

A General Posting Setup line holds a dozen account fields, and each transaction type validates only the ones it uses. A sale checks the sales accounts, a purchase checks the purchase accounts, a credit memo checks the credit memo accounts, an inventory adjustment checks the adjustment accounts. That is why a line can work for months and then fail: the first document of a type that reads a field nobody filled in reaches the check and the field is still empty.

  • The line was created earlier to clear a 'does not exist' error and only the fields needed at that moment were filled in.
  • The transaction type is new for that combination, for example the first credit memo or the first purchase on a line that only ever carried sales accounts.
  • A chart of accounts clean-up removed or renumbered an account and left the field on the setup line blank.

How to fill the missing account

  1. Read the field name at the start of the message: it names exactly which column is empty, for example Sales Account, Purch. Account or COGS Account.
  2. Search for General Posting Setup (Alt+Q) and open the line for the Gen. Bus. Posting Group and Gen. Prod. Posting Group shown in the message.
  3. If the column is not visible, use the Personalise action to show the hidden account columns on that page.
  4. Enter the G/L account agreed with finance; the safest reference is the same field on a comparable line that already posts correctly.
  5. Open the G/L account card you entered and check that it is not blocked and that Direct Posting is set as the process requires.
  6. Post the document again, and if the next message names another field on the same line, fill that one in the same way.

How to avoid it in the future

When you create a posting setup line, fill in every account the combination can ever need instead of only the field that unblocked today's document, and copy from a comparable line so the pattern stays consistent. After any change to the chart of accounts, go back through the setup and check that no field was left blank by a renumbering or a deletion. Testing one sale, one purchase and one credit memo per new combination in a sandbox catches the remaining gaps before a user meets them at posting time.
